When a vehicle key does not come back, who should you ask?

Use this free tracker to log the physical issue and return of vehicle keys, including spare keys. See overdue returns and potential conflicts without confusing key possession with a completed vehicle trip.

The operational problem

A handoff that is easy to lose track of.

A spare truck key is taken from the office on Friday. On Monday, nobody knows who signed for it, whether it was due back or whether a second key was issued.

What this workbook adds

A repeatable manual record and a way to spot exceptions.

Give each physical key a unique ID. Record the person receiving it, the issue time, return deadline, and who accepted it back. Review overdue entries and conflicting open issues in the workbook.

How to use the workbook

A practical four-step routine.

  1. 01

    Identify each key

Create a distinct key ID for each physical original or spare. Do not use just the vehicle number when multiple keys exist.

  2. 02

    Record every issue

Enter who took the key, issue time, purpose and expected return. The borrower and the approving staff member should use your own identity checks.

  3. 03

    Close the handoff

Enter the return and receiver when the key is physically handed back; do not assume a vehicle check-in proves the key returned.

  4. 04

    Review exceptions

Use the workbook flags to find overdue issuances and duplicate open records, then verify each exception in person.

What to record

Keep the fields consistent.

  • Unique key ID and vehicle reference
  • Recipient, issuer and timestamps
  • Expected return and actual return
  • Receiver and exception status

What this does not do

Know the limitation.

This is an office key-control log, not vehicle mileage, trip history, GPS tracking or automatic proof of possession.

As with any spreadsheet, staff must enter accurate information and verify exceptions using their own procedures.

When manual coordination gets difficult

Connect vehicle availability, checkout, return and records in Crew Keys.

The free workbook handles this specific manual tracking need. Crew Keys covers the digital shared-fleet workflow without requiring GPS hardware; it does not automatically identify physical keys, damage causes or site receipts.
