Free Excel workbook · Receiving-site acknowledgment
Was the vehicle actually received at its next location?
Track manual release and receiving-site acknowledgment when company vehicles move between yards, offices or departments. Find missing acknowledgments before the transfer disappears into an email thread.
Free, no account required · Editable Excel file · Formulas and validation · No macros · Fictional examples included
The operational problem
A handoff that is easy to lose track of.
A van leaves Yard A for another department. The sending team marks it released, but the receiving location has not confirmed the vehicle arrived.
What this workbook adds
A repeatable manual record and a way to spot exceptions.
Record the vehicle, releasing site, intended receiving site, expected arrival and named recipient. Flag transfers that still need an acknowledgment.
How to use the workbook
A practical four-step routine.
- 01
Record a transfer request
Identify the vehicle, origin, destination and expected arrival time before release.
- 02
Document release
Enter who released the vehicle and when. A release record alone is not confirmation of receipt.
- 03
Confirm receipt
Have the receiving site acknowledge arrival and record the recipient and receipt time.
- 04
Follow unresolved movements
Review overdue acknowledgments and invalid vehicle or location references; contact the responsible staff directly.
What to record
Keep the fields consistent.
- Vehicle and origin location
- Receiving department or site
- Expected and actual receipt times
- Releaser, recipient and outstanding acknowledgment
What this does not do
Know the limitation.
This is a receipt register, not a live GPS map, dispatch route optimizer, reservation calendar or automated vehicle location system.
As with any spreadsheet, staff must enter accurate information and verify exceptions using their own procedures.

When manual coordination gets difficult
Connect vehicle availability, checkout, return and records in Crew Keys.
The free workbook handles this specific manual tracking need. Crew Keys covers the digital shared-fleet workflow without requiring GPS hardware; it does not automatically identify physical keys, damage causes or site receipts.
